Schedule a Daily Batch Screening Job

Screening results go stale, so screening is not a one-off. Enabling the daily job tells PhoneTools to run a batch screen every day, picking up records that have never been screened and records whose result has fallen out of date, without anyone having to remember to do it.

Before You Start

An address must be saved in Email address for screening alerts before the daily job can be enabled. It is how PhoneTools tells you that screening has hit a problem, most often that your credits have run out. If it is empty, PhoneTools refuses to schedule the job and reports:

In order to report credits exhaustion and other problems, PhoneTools needs a valid alerts email address to be configured before screening can be enabled.

Scheduled Screening is also only shown to a user whose profile has the Modify All Data permission. See Permission Set Assignments.

Enabling the Daily Job

  1. Open the App Launcher and select PhoneTools.
  2. Go to the PhoneTools Administration tab.
  3. Go to the Screening tab and find the Scheduled Screening section.
  4. Choose a three-hour window from the picklist, such as 0:00 - 2:59.
  5. Select Enable Scheduled Screening.

PhoneTools creates a Salesforce Scheduled Job called Phone-screening job that runs once every day. The exact start time is chosen at random within the window you picked, so it is unlikely to fall on the hour, and it does not move once it is set. The section then lists the job with its submission date and its next run time.

Pick a window when your org is quiet. Screening reads every record configured for screening, and there is no reason for it to compete with your users or your integrations.

What the Job Does

The daily job runs exactly the same screen as Screen Now, so which records are picked up, how the run is divided into batches, and how errors are reported are all as described in Run a One-Time Batch Screen.

Because each run only screens records that are due, the daily job settles into a steady trickle rather than re-screening everything every night. The first run after you enable screening is the expensive one.

Which User the Job Runs as

The job runs as the user who enabled it, and uses that user's access to read and update records. That matters: choose an administrator account that will not be deactivated, rather than enabling it from a personal login that might be disabled when someone leaves.

There is no way to reassign an existing job to another user. To change it, delete the job and create it again while logged in as the user you want it to run as.

Managing or Removing the Job

Under the job table, "Click here to view or delete scheduled jobs using the Salesforce Scheduled Jobs viewer." opens the standard Salesforce Scheduled Jobs page, where Phone-screening job can be deleted. Deleting it stops daily screening; it does not change any configuration, and you can enable it again from the Scheduled Screening section at any time.

Short-lived scheduled jobs whose names begin with BatchScreening job: also appear in the same viewer while a run is in progress. PhoneTools creates one for each object after the first, in order to run the objects one after another. Leave them alone; they have done their work once the run has finished.

If Credits Run Out

When a run fails because your credits have been used up, PhoneTools cancels the daily job as well as stopping the run. This is deliberate, so that a job with no credits behind it does not go on failing every night and filling your alerts mailbox.

It also means the job does not come back on its own. Once you have bought more credits, return to the Scheduled Screening section and select Enable Scheduled Screening again.
