Getting Started With PhoneTools

Welcome to the PhoneTools Support Centre. PhoneTools screens the phone numbers held on your Salesforce records against the Telephone Preference Service (TPS) and Corporate Telephone Preference Service (CTPS) registers, so your team knows which numbers are safe to call before they dial.

Screening happens inside Salesforce. There is no separate portal to log into and no export and re-import cycle: the result is written back to the record, where your reports, list views and call queues can use it.

What Will it Do for My Org?

  • Screen the numbers on your records against the TPS and CTPS registers, choosing which of the two registers you screen against.
  • Summarise the outcome for the whole record in the Phone Screening Status field, which holds one of Not Screened, Safe to Call (not listed), Caution (partially listed), Do Not Call (listed) or Error.
  • Break that summary down number by number in the PhoneTools Lightning Component, so a user can see at a glance which of the numbers in front of them is safe to call.
  • Track when each record is next due for screening. PhoneTools stamps the Next Screen Due Field 21 days after a successful screen.
  • Screen on demand, on a schedule, in bulk, or from a Salesforce Flow, depending on how your team works.
  • Expose the outcome as record fields, so screening status can drive reports, list views, queues and automation.

Note: PhoneTools does not look at the country on a record. It screens every number held in a phone field you have configured and enabled, wherever that number is from. If you only want to screen records with a UK address, or want to leave out records you never call, that is done with an optional screening formula you create and configure yourself. See Define a Screening Formula.

Documentation

  • Initial Setup – start here. Covers installing the package, assigning the Permission Sets your users need, and how screening works: what the package already gives you on Account, Contact and Lead, the three functional fields that hold the result, and when a record becomes eligible to be screened.
  • Administration – for the Salesforce administrator who sets PhoneTools up and keeps it running: adding the trigger and functional fields for other objects, choosing which phone fields and which registers to screen, limiting screening with a formula, putting the Lightning Component on your record pages, and screening in bulk, on a daily schedule or from a Flow.
  • Using PhoneTools – for the people working the records: how to screen a record from the record page, and what each status means before you dial.
  • Troubleshooting – every message PhoneTools can show you, quoted in full, with what it means and what to do about it.
